How to Upgrade from Elluminate v 8.5 to v 9.0

Steps to create a new meeting in v 9.0:

  1. Login to your account at: https://sas.elluminate.com/
  2. Click on “Schedule a Meeting” on the left-hand side of the page.
  3. Fill out the session name.
  4. Extend the dates of the session out one year, so this session is always available to you.
  5. Click on “Show Default Fields” on the left-hand side of the page.
  6. Under “Version,” choose 9.0 from the dropdown box.
  7. Remember to select your college under the “Cost Center” dropdown box.
  8. Click on “Save Current Settings as Default” on the right-hand side of the page.
  9. Click on “Create the Session” on the right-hand side of the page.
  10. This confirms and displays the Guest Link and sends an email to you.
  11. Send the Guest Link to invite others to join your session.

Steps to Upgrade an Existing Session:

  1. Login to your Elluminate account at: https://sas.elluminate.com/
  2. Click on the “Utilities” tab at the top of the page.
  3. Click on the “Meeting” icon under “Session Management.”
  4. Click on the grey box (left-hand side) next to your list of sessions.
  5. This will highlight each session one at a time.
  6. Click on “Edit” on the toolbar above.
  7. This opens the fields on the right hand side of the screen.
  8. Click on the dropdown box “Version” and select 9.0.
  9. Click on “Save” on the top right hand side of the page.
  10. Confirm the “Refresh Table” popup by selecting “Yes.”

Teleconference Connection Information:

  1. Click on the Moderator Link and go into your Session.
  2. Click on the small telephone icon that has a wrench through it—the last icon on the right at the bottom of the page. (If you mouse over it, it will say “Configure the telephone connection information.”)
  3. Fill in the conference telephone number and PIN.
  4. Insert two commas before the PIN. This inserts a pause to ensure the bridge is ready to accept your PIN.

ANGEL drop-in sessions in Elluminate with Jesse Sims

If you find, after you’ve used our online resources and have been playing around in your ANGEL classroom, that you’ve got questions you need answered please pop in to one of our ANGEL drop-in sessions. Jesse Sims, who has been supporting faculty with ANGEL for three years at Lower Columbia College, will be available to help.

Monday 9:00 am – 10:00 am
Tuesday 4:00 pm- 5:00 pm
Wednesday 10:00 am – 11:00 am
Thursday 3:00 pm – 4:00 pm
Friday 11:00 am – 12:00 pm

You will at least need desktop speakers for the session and can ask questions via the “chat” feature. If you have a headset with microphone, even better, you can use the audio to participate. Blackboard/ANGEL Migration Elluminate Training Session Schedule

In order to be use these sessions most efficiently it helps if you go through the training videos here: http://www.waol.org/faculty_and_staff/angelSupport.aspx and practice in your ANGEL classroom before attending these sessions.

Each session will begin with a presentation on the subject listed.

ANGEL Elluminate session Recordings

If you missed the Elluminate session with Jesse Sims on moving your course content from Blackboard to ANGEL and would like to view the recording click here.

You can also view Monday’s session about organizing your couse documents, assignments etc. by clicking here.

Tomorrow’s session will be covering Assessments, quizzes, exams and games. You can join the session by clicking on this link.  It’s helpful to have a headset with microphone when you attend but works fine to attend if you only have desktop speakers. You will still be able to participate in chat.  The session is scheduled to begin at 10:00 am.

ANGEL/Elluminate Updates

The first meeting of the WAOL Council on September 8 gave us some good feedback and information.  Here’s the link to the ELC wiki:

Elluminate:

·         We have enabled accounts for six colleges so far.  In the process, we discovered a few things that need clarification:

o   The user ID must be in all caps.

o   The option for technical support for administrators when they call Elluminate has changed from “4” to “2.”

o   Use of WAOL Elluminate is FREE, unlimited and available to anyone in our system.  You do not have to use WAOL to deliver courses to use WAOL Elluminate.

o   Elluminate can be integrated with Blackboard. We will not integrate with WAOL Blackboard since WAOL is moving off Blackboard this year.  If a college wants to integrate the WAOL Elluminate with the college Blackboard, they can do so.  Here’s the link to information on that Building Block: http://www.elluminate.com/blackboard_building_block.jsp

o   Training is free and through Elluminate.  We require training of the college Elluminate administrator, and we suggest colleges require training of anyone who gets an account through a college.  When you sign up for the training for Elluminate, they ask you to create an account.  That account is with Elluminate for their training registration, and WAOL has no access to it nor will lit give a person access to WAOL Elluminate.

 ANGEL:

·         ANGEL sandboxes—To this point we have asked people to get sandboxes from ANGEL rather than from WAOL so that they can receive support from ANGEL.  We will be creating accounts in WAOL ANGEL in the next few weeks.  We will create an account for everyone who already has an account on WAOL Blackboard, and we will also have a procedure to create accounts for people who are new to WAOL. 

·         13 classrooms will be delivered Fall 08 on the WAOL ANGEL production server.

·         Those classrooms can continue on ANGEL Winter 09.  We will also be able to support additional classrooms during Winter 09.

·         WAOL System-Owned Shared courses will be moved to ANGEL for Winter 09.  Undetermined other college courses will be tested as well; however, our first goal for Winter is to test the WAOL integration processes.

·         Blackboard to ANGEL training materials are under development and will be available in October.  Boyoung Chae is doing this work now that Jane McCarville is working at NIC.

·         The Blackboard to ANGEL migration plan has two phases, and WAOL staff are focused right now on Phase One. 

o   Phase One:  Successfully replicate what WAOL does right now on Blackboard

o   Phase Two:  Create processes and access so colleges can manage ANGEL in their own domains.

Next Meeting:

·         The WAOL Council will meet every other week in Elluminate.  The next meeting is at 11:00 on Monday, September 22.

WAOL Elluminate Documentation

As you know, the State Board purchased an unlimited license for Elluminate for the system colleges this July.  The license is managed by the WashingtonOnline office, and we are now ready for colleges to begin to use Elluminate on their campuses.  We have created an administrator account for each college that can be activated when the elearning director tells us that the designated college administrator has taken the required online training from Elluminate.  We are using the honor system, so all we need is a phone call or email once the required training is complete.

The documentation below provides information designed for the college administrator and technical staff rather than for the individual users at a college.

Mark Carbon is the Elluminate Manager for the WAOL license and will be the chief support for college administrators.  In addition, Monique Kovalenko and Brook Bane are trained to provide support and are ready to practice in Elluminate sessions as we all learn how to use it.  We have had a lot of fun learning to use Elluminate in the WAOL office, and we hope you find it to be a useful tool at your colleges.  Please let me know if you have any questions or feedback.

Elluminate Training

As you know, changes are occurring at WAOL.  One such change is the purchase of Elluminate, a real-time online learning and collaboration tool.  I know many of you are anxious to learn Elluminate, and I am excited for you to do so.  The State Board has purchased a single, unlimited license available for use by all 34 colleges, the State Board office, and the HECB office.  Each institution will manage its own users in that single installation, managed by WAOL.  We anticipate a full roll-out for all institutions by the end of August.

·         All Elluminate information from WAOL will go by default to the ELC on each campus.  If you want to designate someone else to manage Elluminate for your campus, that’s fine.

·         If you use Elluminate on your campus, you will need to manage and support it.

·         The training listed below is on using the Elluminate tools; we will have further training on how to manage Elluminate after we have set up the business rules for the State Board license.

 With that in mind, please find the Elluminate training plan from WAOL below:

  1.  The ELC (or college-designated person) at each college should be trained and comfortable in the Elluminate environment prior to faculty or staff using Elluminate.
    1. To accomplish this, the ELC or designated college person needs to go through the four, free, live, one-hour each, online training courses that Elluminate offers.  Those training courses can be found at this website:  http://sas.elluminate.com/site/external/event/schedule?etn=training&eef=1 

                                          i.    You will need to create a login account, which can be created at the above site.

                                         ii.    Going through the training sessions will allow you to set your computer with the correct preferences.

                                        iii.    The classes are offered on many different dates and times.

                                       iv.    The four free one-hour each training courses are:

2.    Part 1:  Getting Started With Elluminate Live!  For Moderators

3.    Part 2:  Next Steps With Elluminate Live!  For Moderators 

4.    Part 3:  Advanced Tools In Elluminate Live!  For Moderators

                       

I would suggest you go through the training for administrators as well:Elluminate Live!  Session Administration System        

  1. If you like, once the ELC (or other college person) has completed the four, free training courses offered by Elluminate, you can request face-to-face training at your college by me, the WAOL Online Faculty Training Coordinator. 
  2. To practice Elluminate, you can create a vRoom in Elluminate and select someone to participate in your vRoom.  (Note:  There can only be 3 people in a vRoom at a time, and you can participate with another ELC’er, myself, or anyone else you wish to invite into your vRoom.)
  3. In the meantime, WAOL staff will be setting up the Elluminate installation. We expect to be done with that work by the end of August.
  4. Once someone at your college is comfortable with Elluminate, and the WAOL installation is complete, you can request Elluminate for your school.  Each college will determine when to offer Elluminate to the faculty/staff.  Each college will control emails to faculty and staff regarding Elluminate, will be in charge of their training, and will support its own users.  As a suggestion, I would require faculty to go through the above four free training modules, then, if you would like, I would present face to face training at your campus, or you could conduct face to face training on your campus with materials I provide to you or materials you create yourself.
